Content Activation
In a Trainer-Led class, assessments and observations don't become available to students automatically - a trainer must deliberately activate them. This gives trainers precise control over when students can access and begin each task, ensuring learners receive the necessary instruction before attempting high-stakes activities.
What's Covered in This Article
This article explains how trainers manage the release and scheduling of content within a Trainer-Led class.
- Activation Order: The two-step process for activating units and their content.
- Activating Content: How to release assessments and observations to students.
- Schedule Activation: Configuring read-only periods, open times, and due dates.
- Batch Activation: Releasing content to an entire cohort at once.
- Extensions: Adjusting due dates for individual students.
Activation Order
Content activation follows a two-step sequence. A unit must be activated before any of its individual assessments or observations can be activated for students.
- Activate the Unit: In the Class Management tab, locate the unit and activate it for the relevant students. Content within the unit remains inactive until this step is complete.
- Activate Individual Content: Once the unit is active, trainers can activate specific assessments or observations within it, with full control over timing and access windows.
Activating Content
Content activation is managed from the Activity Activation tab within the class view.
Quick Access from Class Management: If any activities are pending activation, an Action Required banner appears at the top of the Class Management tab. The banner lists the number of activities requiring attention and includes a direct link to the Activity Activation tab, so you can get there without navigating manually.

To activate an assessment or observation:
- Open the relevant class and go to the Activity Activation tab.
- All units in the class are listed by their national code and title. Use the search bar to find a specific unit by code or name, or scroll through the list.
- Click the chevron (↓) on a unit row to expand it and reveal the assessments and observations within that unit.

- Use the checkboxes to select one or multiple activities at a time.

- Review the Status, Last Activation date, and Activation History (via the View history link) for context before proceeding.
- Click the Activate button next to the activity to activate it for selected students.
- Configure the access settings (see Access Scheduling below) and confirm.
Once activated, students receive an email notification with the activity name, access link, and any timing details that have been set.
Schedule Activation
After clicking Activate, select one or more students — a Schedule Activation modal will then appear, trainers can configure how and when students interact with it.
Read-only Time (toggle): Enable this toggle to allow students to view the activity before it officially opens. During this period, students can read the content but cannot interact with or submit it.
Open Time: Choose how the activity opens for student submission:
- Immediately (default): The activity opens for submission as soon as you confirm activation.
- Set Time: Select a specific date and time for the activity to become available. The activity remains locked until this time is reached.
Due Time: Choose whether to set a submission deadline:
- No Due Time: Students can submit at any time with no deadline.
- Set Time: Select a specific date and time as the submission deadline. When the due time is reached, the system automatically submits the student's work regardless of completion status.

To confirm, tick the "Please confirm the settings before activating. Activation cannot be undone." checkbox, the Activate button will only become available once this is checked.

Due Date (optional): Set a deadline for submission. The student's dashboard displays a countdown to this deadline. When the due time is reached, the student's work is automatically submitted by the system regardless of completion status. Unfinished questions are submitted as-is for the trainer to review and mark.

Scheduling follows a strict order: Read-Only Time → Open Time → Due Time. All dates must not be set in the past.
Batch Activation for Multiple Students
For large cohorts, Batch Activation allows trainers to release content to multiple students simultaneously.
- In the Class Management tab, use the checkboxes to select all students or a specific group.
- Click Activate at the top of the student list.
- Configure the access settings - the same scheduling options apply (immediate, read-only period, scheduled open time, and due date).
- Confirm to apply the activation uniformly across all selected students.
Managing Extensions
If a student requires additional time after activation, trainers can adjust the due date for that individual without affecting the rest of the class.
- Locate the student in the Class Management tab.
- Edit the activation settings for the relevant task.
- Update the due date and confirm. The student's dashboard will reflect the new deadline immediately.
