Setting: Trainer Activation Requirement

The Trainer Activation Requirement is a security and instructional control feature that prevents students from accessing specific assessments or observations until a Trainer manually "unlocks" them. This ensures that students only begin high-stakes tasks when the Trainer is present to supervise or has provided the necessary preliminary instructions.

By enabling this setting, Content Editors give Trainers the power to manage the "Open Time" and "Due Dates" for activities based on the real-time needs of their specific class.

How It Works

When Trainer Activation is enabled on an assessment or observation, students cannot access or begin that activity until a Trainer manually activates it. This applies to trainer-led classes and is not available for self-serve delivery.

Two roles are involved in this workflow:

  • Content Editors – Enable the requirement when creating or editing content, before publishing.
  • Trainers – Perform the activation at the point of delivery, with the ability to control timing for individual students or the entire class.

Configuration for Content Editors

The Trainer Activation Requirement can be applied at two levels.

  • Individual Tasks: When creating or editing an Assessment or Observation, toggle the Trainer Activation Required option to on. This applies the requirement to that specific task only.

  • Entire Units: Within the Unit Settings, Content Editors can enable the requirement across all assessments and observations in the unit at once, rather than configuring each task individually.

Activation Workflow for Trainers

Once a class is underway, Trainers are responsible for moving content from an inactive state to active. The activation workflow follows these steps:

  1. Identify Content: Trainers can see a list of units and specific activities that require their activation within Class Management.

  1. Student Selection: Content can be activated for the entire class at once or for individual students as needed.

  1. Dependency Check: Activities within a unit cannot be activated unless the unit itself has been activated first.

Timing Options

When activating content, Trainers can configure the following access windows. All dates must not be set in the past and must follow the correct order: Read-only Time → Open Time → Due Time.

  • Read-only Time (optional): Students can view the activity content but cannot interact with or submit it. Useful for allowing students to familiarise themselves with the task before it officially opens.
  • Open Time (optional): The date/time students can officially start and submit the activity which must be after the current date and time.
  • Due Time (optional): The submission deadline. Must be set after the Open Time. Once the due time is reached, the activity is automatically submitted on the student's behalf.
