AVETMISS Reporting

AVETMISS (Australian Vocational Education and Training Management Information Statistical Standard) is the national data standard for collecting, managing, and reporting on VET activity in Australia. All Registered Training Organisations (RTOs) are required to collect and submit AVETMISS-compliant data to their relevant State Training Authority (STA) and NCVER (National Centre for Vocational Education Research) as part of their ongoing compliance obligations.

Nimbu captures AVETMISS-relevant data throughout the delivery of training which include student profile information, enrolment details, unit outcomes, and trainer records and makes it available for export as a structured CSV file.

What AVETMISS Is

AVETMISS compliance requires RTOs to record specific data points for every student enrolment and every unit of competency delivered. This data is used by state and federal training authorities to track VET participation and outcomes across Australia.

Nimbu collects AVETMISS-relevant data at three levels:

Student profile data: captured when a student record is created or updated, including:

  • Last name and first name.
  • Email address.
  • Phone number.
  • USI (Unique Student Identifier) - required for accredited training.

Enrolment data: captured when a student is enrolled in a class, including:

  • Enrolment ID and status (Inactive, In Progress, Competent, Not Yet Competent).
  • Enrolment start and end dates.
  • Class details (class UID and name).
  • Course details - national code and title (accredited) or internal code and title (non-accredited).
  • Primary trainer details (name and email).
  • RTO number and name (if configured).

Unit outcome data: captured as students progress through units, including:

  • Unit national code and title (accredited) or internal code and title (non-accredited).
  • Unit start date (the date the student first accessed the unit).
  • Unit end date (the date the student completed the unit).
  • Unit result (Competent or Not Yet Competent).

Only accredited courses and units are typically included in formal AVETMISS reporting submissions. Non-accredited training uses internal codes and titles and is generally excluded from government reporting.

Export Modes

The Export one row per unit toggle on the Report Summary panel controls how unit data is structured in the exported file.

Toggle State Export Format
Off (default) All units for a student enrolment are exported on a single row.
On Each unit for a student enrolment is exported on its own separate row.

The default format (toggle off) provides a compact view of enrolment data. Turn the toggle on when you need unit-level outcome data in a row-per-unit format this is typically required for formal AVETMISS submissions to your STA or NCVER, as unit outcomes must be reported individually.

Tip: For formal government reporting, turn the Export one row per unit toggle on to ensure each unit outcome is captured as a separate record in your export file.

Setting the Date Range

The Date range field defines the reporting period for your export. Nimbu uses this range to determine which enrolment records are included in the export. To set the date range:

  1. Click the Date range field (labelled Select period) on the Report Summary panel.
  2. Select the start and end dates for your reporting period.
  3. The selected range will display in the field (e.g. 01/01/2026 - 28/02/2026).

Choose a date range that matches your reporting period — for example, a calendar year (1 January to 31 December) or a financial year (1 July to 30 June).

Filtering by Course, Class, and Student

The Report Summary panel provides three optional filters to narrow your export to specific records. All filters are optional to leave them empty will include all matching records within the selected date range.

  • Course Select a specific course from the Course dropdown to limit the export to enrolments within that course. Click the × next to the selected course to clear the filter.
  • Class Select a specific class from the Class dropdown to limit the export to enrolments within that class. Click the × next to the selected class to clear the filter.
  • Student Select a specific student from the Student dropdown to limit the export to that student's records only. Click the × next to the selected student to clear the filter.

Filters can be applied individually or in combination. For example, you can select a course and a class together to export data for a specific class within a specific course, or select a single student to review their individual record before a full submission.

Downloading the CSV Export

Once you have configured the date range, export mode, and any filters, click the red Export button to generate and download the CSV file. The file will download directly to your device.

The exported CSV contains one row per record (one row per enrolment, or one row per unit enrolment if the toggle is on) and includes all AVETMISS-relevant fields captured by Nimbu for each record.

Recent Exports

Below the Report Summary panel, the Recent Exports table lists all previously generated exports. Each row shows:

  • Date: The date and time the export was generated.
  • Name: The name of the user who generated the export.
  • Email: The email address of the user who generated the export.
  • Download: A Download button to re-download that export file.

Use Recent Exports to retrieve a previously generated file without needing to reconfigure and re-run the export.
