Managing Student Enrolments

In Nimbu, every student's journey through a class is tracked through their enrolment record. Each enrolment captures the student's current progress state, gives trainers and administrators visibility over who is active, paused, or complete, and provides the controls needed to manage exceptions,  such as locking access, restarting progress, or excluding a unit from a student's pathway entirely.

This article covers the enrolment statuses you will encounter in Class Management and explains the actions available to you when a student's situation requires intervention.

Enrolment Statuses

Each student's enrolment in a unit displays a status indicator in the Class Management grid. These statuses reflect the student's current state within that unit and update automatically as they progress.

Status Label What It Means
Invited Invited The student has been added to the class but has not yet logged in or accessed any content for the first time.
Inactive IA The unit has not yet been activated for the student. The student cannot access the unit until a trainer activates it.
In Progress IP The student has started the unit and is actively working through its content.
Awaiting Result AR All required content has been completed and the unit is pending a final result from the trainer (when manual result setting is enabled).
Awaiting Accept Awaiting Accept The trainer has set the final unit result and the student must formally acknowledge and accept it.
Competent C The student has successfully met all unit requirements. This is the final passing outcome.
Not Yet Competent NYC The student has not met the unit requirements. This is the final failing outcome.
Locked Locked The student's access to the unit has been temporarily suspended by a trainer or administrator.
N/A N/A The unit has been marked as not applicable for this student and is excluded from their required learning pathway.

Note: The Invited status appears at the class level, not the individual unit level. Once a student logs in for the first time, their unit statuses will reflect their actual progress.

Locking an Enrolment

Locking prevents a student from accessing a unit without removing them from the class or clearing their progress. This is useful when a student needs to be temporarily paused, for example, due to a leave of absence, a compliance concern, or a scheduling issue.

When a unit is locked, the student can see the unit on their dashboard but cannot interact with any content or submit any work.

To lock a student's enrolment in a unit:

  1. Navigate to Classes and open the relevant class.
  2. Go to the Class Management tab.
  3. Locate the student in the enrolment grid and find the unit you want to lock.
  4. Click the status indicator or the action menu (⋮) for that unit.
  5. Select Lock.
  6. Confirm the action when prompted.

The unit status will update to Locked and the student will no longer be able to access that unit until it is unlocked.

Note: Locking does not affect the student's existing progress or submitted work. All data is preserved and will be visible again once the enrolment is unlocked.

Unlocking an Enrolment

Unlocking restores a student's access to a unit that was previously locked. All existing progress and submission history is retained.

To unlock a student's enrolment:

  1. Navigate to Classes and open the relevant class.
  2. Go to the Class Management tab.
  3. Locate the student and the unit currently showing a Locked status.
  4. Click the status indicator or the action menu (⋮) for that unit.
  5. Select Unlock.
  6. Confirm the action when prompted.

The unit status will return to its previous state (such as IP or TBM) and the student will immediately regain access.

Restarting an Enrolment

Restarting an enrolment completely resets the student's progress for a unit. This action clears all submission history, activity results, and progress data for that unit, returning the student to the beginning of their learning journey for that unit.

This action is irreversible. Use it only when a full reset is genuinely required — for example, when a student has completed a unit under incorrect conditions and must redo it entirely.

To restart a student's enrolment in a unit:

  1. Navigate to Classes and open the relevant class.
  2. Go to the Class Management tab.
  3. Locate the student and the unit you want to restart.
  4. Click the action menu (⋮) for that unit.
  5. Select Restart.
  6. Read the confirmation warning carefully, then confirm to proceed.

The student's unit enrolment will reset and their status will return to Inactive (IA) or the appropriate starting state for that unit.

Important: Restarting an enrolment permanently deletes all submission data, assessment results, and marking feedback for that student's unit. This action cannot be undone. Confirm with the student and review any compliance obligations before proceeding.

Marking an Enrolment as N/A

The N/A (Not Applicable) action excludes a unit from a student's required learning pathway. This is appropriate when a unit is not relevant to a particular student, for example, an elective unit they are not required to complete, or a unit that does not apply to their specific job role or qualification pathway.

When a unit is marked N/A, it no longer contributes to the student's overall completion requirements for the class. The unit remains visible in the enrolment grid for record-keeping purposes.

To mark a unit as N/A for a student:

  1. Navigate to Classes and open the relevant class.
  2. Go to the Class Management tab.
  3. Locate the student and the unit you want to exclude.
  4. Click the action menu (⋮) for that unit.
  5. Select Mark as N/A.
  6. Confirm the action when prompted.

The unit status will update to N/A and will no longer be counted towards the student's completion or competency outcomes for the class.

Note: If the N/A status was applied in error, you can reverse it by selecting Undo N/A (or Mark as Active) from the same action menu, which will restore the unit to its previous required status.
