Setting Unit Final Results

In Nimbu, a unit's final result represents the official competency outcome for a student - the formal determination of whether they have met the requirements of that unit. Depending on your RTO's configuration, this result may be calculated automatically by the system or require a trainer to review the student's evidence and confirm the outcome manually.

This article explains when and how to set a unit's final result, how to provide feedback, and what happens after the result is recorded.

When to Set a Final Result

How Results Are Triggered

The way final unit results are recorded depends on your RTO's configuration in Settings > RTO Settings.

  • When "Require Trainer to Set Final Result Manually" is off (default): Once a student completes all required content in a unit, Nimbu automatically calculates and records the final result. No trainer action is needed.
  • When "Require Trainer to Set Final Result Manually" is on: Once all required content is completed, the unit status changes to AR (Awaiting Result). The trainer must manually review the student's progress and confirm the outcome before the result is recorded.

Note: The manual result workflow applies to trainer-led classes only. Self-Served courses always finalise results automatically upon completion, regardless of this setting.

The AR Status

The AR (Awaiting Result) status appears in the Class Management grid when a student has finished all required content in a unit and the result is ready to be set. A unit will not display AR status until every required activity and completion-required learning resource in the unit has been finalised.

Trainers receive an in-app notification when a unit enters AR status, so you can act promptly without needing to monitor the class grid manually.

Result Options

When setting a final result, you have two outcome options:

Result When to Use
Competent The student has demonstrated the required skills and knowledge across all unit activities to the required standard.
Not Yet Competent The student has not met the required standard — for example, they have exhausted resubmission attempts, or the class duration has ended without full completion.

Setting the Final Result: Step by Step

Accessing the Unit

Via notification:

  1. Click the notification bell icon in the left-hand sidebar.
  2. Click Mark Now in the relevant notification to go directly to the student's enrolment in Class Management.

Via Class Management:

  1. Navigate to Classes in the left-hand sidebar and open the relevant class.
  2. In the class grid, locate the student whose unit displays an Assess button.
  3. Click Assess to open the student's enrolment details.
  4. Click Mark Unit to open the marking interface.

Reviewing the Learning Progress Summary

Before confirming a result, review the Learning Progress Summary. This provides a consolidated view of everything the student has completed within the unit, including:

  • Each required content item and its completion status.
  • Assessment and observation outcomes (Satisfactory / Not Satisfactory) for all activities in the unit.

Take time to review this carefully. The result you are about to record is the official competency outcome for this student's unit enrolment.

Selecting the Result

Nimbu displays a system-suggested result based on the student's activity outcomes. You can accept this suggestion or select a different outcome.

  1. Review the system suggestion.
  2. Select Competent or Not Yet Competent.

Overriding the system suggestion: If your selected result differs from the system suggestion, a Feedback/Reason field becomes mandatory. This documents the reason for the override and creates an audit trail for compliance purposes.

Adding Result Feedback

When setting a final result, you can provide a written comment for the student. Feedback is optional unless you are overriding the system-suggested result, in which case a reason is required.

Feedback is displayed to the student when they view their unit result. It is an opportunity to acknowledge the student's achievement, explain a Not Yet Competent outcome, or provide guidance on next steps.

To add feedback:

  1. In the marking interface, locate the Feedback/ Reason field below the result selection.
  2. Enter your comments in the text field.
  3. Click Confirm & Mark to finalise the result and send it to the student.

Tip: Even when feedback is optional, providing a brief comment - particularly for a Not Yet Competent result - helps the student understand the outcome and supports transparent, defensible decision-making for your RTO.

Awaiting Student Acceptance

Depending on your RTO's settings, students may be required to formally acknowledge their unit result before it is fully recorded. This is configured under Settings > RTO Settings.

How Student Acceptance Works

When student acceptance is enabled, the following sequence occurs after a trainer confirms a result:

  1. The student receives an email notification and an in-app notification advising that their unit result is ready to view.
  2. The student navigates to the relevant unit and clicks Accept Your Result.
  3. A Unit Result modal displays showing:
    • The final result (Competent / Not Yet Competent).
    • The trainer's name and the date the result was set.
    • Any feedback provided by the trainer.
  4. The student clicks Confirm & Accept to formally acknowledge the outcome.

Until the student accepts the result, the unit displays an Awaiting Accept status in the class grid.

Important: Once a student accepts their result, it cannot be changed. Students should be advised to contact their trainer before accepting if they have any concerns about the outcome.

When Acceptance Is Not Required

If student acceptance is not enabled, the result is recorded automatically when the trainer clicks Confirm & Mark. The student can view their result in their unit dashboard without needing to take any action.

Impact on Course Completion

Unit final results contribute directly to a student's overall course progress. Nimbu calculates course completion based on the outcomes of all units within the class.

  • A Competent result marks the unit as complete and counts toward the student's course completion.
  • A Not Yet Competent result means the unit requirement has not been met. Depending on your RTO's workflow, this may prompt a resubmission request or further trainer intervention.
  • A course completion status cannot be calculated until all units in the class have a finalised result. Any unit still in AR (Awaiting Result) status will hold the overall course outcome in an incomplete state.

This means that setting AR results promptly is important - delays in confirming unit outcomes directly delay the student's course completion record.

Note: If the Require Trainer to Set Final Result Manually setting is turned off while units are already in AR status, those units do not auto-finalise. They remain in AR until a trainer manually confirms the result.
