Quickstart for Trainers

Welcome to Nimbu. As a Trainer, you're the primary guide for your students' learning journey. Nimbu streamlines your daily tasks from managing assessments to tracking student progress in real-time; so you can focus more on teaching and less on paperwork.

Who Can Do This

Trainers with class management and marking permissions assigned by an administrator.

Accessing Your Assigned Classes

When an administrator creates a class, they assign you as the Trainer. Here's how to find your classes:

From Your Dashboard

  1. Log in to Nimbu
  2. Your home dashboard displays "Work To Be Marked", "View Your Class Information", "View Your Students Progress" click this to see your active classes
  3. You'll see key metrics like students enrolled, completion rates, and pending marking tasks

From the Classes Menu

  1. Click Classes in the left-hand menu
  2. You'll see a complete list of all classes where you're the assigned instructor
  3. Active classes display a green badge—these are your current teaching sessions
  4. Inactive classes show past or future sessions

Understanding Class Status

Status Meaning
Active Class is currently running; students can access content
Inactive Class hasn't started yet, or has ended

Understanding Statuses in Nimbu

Nimbu uses two separate sets of statuses. It's important to understand the difference: one describes a student's progress through a unit, and the other describes the outcome of an individual task (assessment or observation).

Unit Enrolment Statuses

These appear in Class Management and show where a student is up to within a unit overall.

Status Meaning
IA: Inactive The student hasn't started the unit yet, or the unit hasn't been activated for them
IP: In Progress The student is actively working through the unit
TBM: To Be Marked The student has submitted one or more tasks that are waiting for your review
AR: Awaiting Result The student has completed all required content; the unit is waiting for a final result to be set by the trainer (if your RTO requires this)
C: Competent The unit has been finalised with a Competent result
NC: Not Yet Competent The unit has been finalised with a Not Yet Competent result

Task Statuses (Assessment / Observation)

These appear when you're marking individual submissions and describe the outcome of a single assessment or observation task.

Status Meaning
TBM: To Be Marked The task has been submitted and is awaiting your review
IP: In Progress The student is currently working on the task (not yet submitted)
S: Satisfactory The task has been marked and the student passed
NS: Not Satisfactory The task has been marked and the student did not pass

Note: S/NS apply to individual tasks. C/NC apply to the unit as a whole. A student can receive S on all tasks in a unit, but the unit result is still set separately as Competent or Not Yet Competent.

Viewing Enrolled Students

The Class Management tab is your command center for tracking student progress.

Accessing Class Management

  1. Click Classes in the left menu
  2. Select your class from the list
  3. Click the Class Management tab

You'll see a table with all enrolled students and their progress across units, using the unit enrolment statuses below (IA, IP, TBM, AR, C, NC).

Status Meaning
IA: Inactive The student hasn't started the unit yet, or the unit hasn't been activated for them
IP: In Progress The student is actively working through the unit
TBM: To Be Marked The student has submitted one or more tasks that are waiting for your review
AR: Awaiting Result The student has completed all required content; the unit is waiting for a final result to be set by the trainer (if your RTO requires this)
C: Competent The unit has been finalised with a Competent result
NC: Not Yet Competent The unit has been finalised with a Not Yet Competent result

Viewing Individual Student Details

Click on any student's name to access their detailed profile with four tabs.

1. Profile Tab: View the student's personal information, contact details, and enrolment information.

2. Progress Tab: Two views are available:

  • Learning Progress: Shows the student's status for each unit in the class: unit codes, names, current status, "to be marked" count, and "in progress" count. Expand any unit to see detailed content completion.
  • Student Engagement: Tracks activity metrics including total time in the system, content viewed, completed content, time per content item, and engagement progress charts.

3. Logs Tab: A complete activity timeline for the student. Filter by All Time or custom date ranges. Shows chronological events including enrolment actions, submissions, content completion, and unit status changes , each with a timestamp and action type.

4. Documents Tab

View and download the student's Pre-Training Review and Pre-Course Materials documents with submission dates.

Tip: Use the Progress tab to quickly identify students who need extra support, and the Logs tab to understand their engagement patterns over time.

Marking Assessments Overview

When students complete assessments or observations, they appear in your marking queue for review.

Accessing Your Marking Queue

  1. Click Marking in the left-hand sidebar
  2. You'll see three tabs:
    • Assessments: Written tests and quizzes
    • Practical/Observation For Class: View all students in a class
    • Practical/Observation For Student: Focus on individual students
  3. Use the search bar to filter by student name, assessment name, unit code, or class name

Understanding the Marking List

Each row shows:

  • Student: Name of the student
  • Assessment/Observation: Title of the work
  • Unit Code: Which unit it belongs to
  • Class: The student's class
  • Date: Submission timestamp

Click any row to open the submission for marking.

The Basic Marking Workflow

Step 1: Review Submission Information

  • See which attempt this is (1st, 2nd, 3rd)
  • Check submission time and type (Student Submit or Auto Submit)

Step 2: Mark Questions

  • Self-marking questions (Multiple Choice, True/False, Selection) are automatically graded — review the results but no manual marking is needed.

  • Trainer-marked questions (Short Answer, Upload) require your review. Click the eye icon to view the student's response, mark as S (Satisfactory) or NS (Not Satisfactory), and add feedback to guide the student.

  • Observation checklists: Check the Completed? box for each criterion the student has demonstrated.

Step 3: Review Summary

The summary bar shows a real-time count of:

  • Satisfactory questions marked S
  • Not Satisfactory questions marked NS
  • Resubmit Questions you've flagged for the student to redo

If NS = 0 and no resubmit questions are flagged, the student has passed all questions and you can proceed to the final result.

Step 4: Take Action

Choose one of the following from the summary bar:

  • Request Resubmission: Ask the student to redo the entire assessment or specific NS questions. This creates a new attempt. You can set a lock time, open time, and optional due date.

  • Request Revisions: (via the kebab menu ⋮ in the header): Ask the student to edit and resubmit their existing work without creating a new attempt. Best for minor corrections.

  • Final Result: Finalise the task result as Satisfactory Completed or Not Satisfactory Completed. Add optional feedback and supporting files, then click Submit. The student is notified automatically.

Marking Observations

Observations come in two types:

  1. Trainer Observations:
    • Only trainer completes (checklists)
    • No student submission needed
    • Mark completed items and set final result
  1. Student Observations:
    • Student submits work first
    • You review and mark like assessments
    • Can include both student questions and trainer checklists
    • Same action options as assessments

Setting Unit Final Results

If your RTO requires manual unit results:

  1. Students complete all required content
  2. Unit shows AR (Awaiting Result) status
  3. Navigate to Class Management > click Assess > Mark Unit
  4. Review the Learning Progress Summary
  5. Select Competent or Not Competent
  6. Add feedback (required if disagreeing with system suggestion)
  7. Click Confirm & Mark

Important: Unit results cannot be changed once students accept them.

Key Trainer Responsibilities

As a trainer, your core responsibilities center on four main areas:

1. Activate Content

Some assessments and observations require your activation before students can access them.

  • Go to Class Management > Activity Activation
  • Set Read-only Time, Open Time, and Due Date
  • Click Activate - students receive automatic notifications

When to activate: At session start, before supervised assessments, or when students are ready for specific units.

2. Mark Student Work

Review and grade submissions promptly to keep students progressing.

  • Access your queue via Marking in the left menu.
  • Mark individual tasks as S (Satisfactory) or NS (Not Satisfactory).
  • Provide clear, actionable feedback.
  • Finalise, request revisions (minor fixes), or request resubmission (major rework).

Best practice: Aim to mark within 24–48 hours where possible.

3. Monitor Progress

Track student engagement and identify those who need support.

  • Use Class Management to view the student roster and unit enrolment statuses.
  • Look for students showing IA (not started), TBM (awaiting marking), or AR (awaiting your final result).
  • Reach out proactively to students who are falling behind.

Pro tip: Check the Student Engagement tab for detailed activity metrics.

4. Set Final Unit Results (if required)

When students complete all content, their unit moves to AR status awaiting your sign-off.

  • Go to Class Management > Assess > Mark Unit.
  • Review progress and select Competent or Not Yet Competent.
  • Add feedback and click Confirm & Mark.

Important: Results cannot be changed once students accept them.

  3. Use the search bar to filter by student name, assessment name, unit code, or class name

The Marking Workflow

Step 1: Review Submission Information

When you open a submission, the Submission Info section shows:

  • No. Submission: Which attempt this is
  • Submission Time: When the student submitted
  • Submission Type: How it was submitted
    • Student Submit: Manual submission by the student
    • Auto Submit: Automatically submitted when due date or attempt limit was reached

Step 2: Review and Mark Questions

In the List of Questions section, you'll see all questions with their status:

For Trainer Observations (checklist-style):

  • Question: Question number with an eye icon to view details
  • Feedback: Your comments on the question (optional)
  • Completed or Resubmit: Checkmark column to mark if the student demonstrated competency

For Assessments and Student Observations:

  • Question: Question number with an eye icon to view details
  • Attempted Times: Number of attempts for this question (if attempt limits apply)
  • Result: Current status (S for Satisfactory, NS for Not Satisfactory)
  • Feedback: Your comments on the student's answer
  • Resubmit: Checkbox to flag questions for resubmission (appears for NS questions)

Marking Process:

  1. Click the eye icon next to each question to view the student's response

  1. For self-marking questions (Multiple Choice, True/False, Selection):
    • These are automatically graded and show S or NS
    • Review the results but no manual marking needed

  1. For trainer-marked questions (Short Answer, Upload):
    • Read the student's response carefully
    • Click to mark as Satisfactory or Not Satisfactory
    • Add feedback in the Feedback column to explain your decision

For observations, check the Completed? box for each demonstrated competency

Step 3: Review the Summary

At the bottom of the screen, the Summary bar displays a real-time overview of your marking progress:

  • Satisfactory: Count of questions marked as S (e.g., "Satisfactory: 3")
  • Not Satisfactory: Count of questions marked as NS (e.g., "Not Satisfactory: 1")
  • Resubmit Questions: Count of questions flagged with the resubmit checkbox (e.g., "Resubmit Questions: 1")

Understanding the Summary Counts:

  • If Not Satisfactory = 0 and no resubmit questions are flagged, the student has passed all questions => you can proceed directly to Final Result
  • If there are NS questions or Resubmit Questions flagged, consider whether to use Request Revisions (minor fixes) or Request Resubmission (major rework)
  • The Resubmit Questions count only includes questions you've manually checked in the Resubmit column which is typically NS questions you want the student to redo

Step 4: Choose Your Next Action

Once all required marking is complete, you'll see action buttons on the right side of the Summary bar:

For Assessments and Student Observations with Student Questions:

Option 1: Request Resubmission (Blue button)

  • Appears when there are NS questions or when you want the student to redo work
  • Click to open the resubmission modal (see detailed section below)

Option 2: Final Result (Dark button)

  • Finalise the assessment or observation result
  • Choose Not Satisfactory Completed or Satisfactory Completed
  • For observations, set the Date of Observation
  • Add optional feedback in the text field
  • Upload optional supporting files
  • Click Submit to finalise
  • Student receives notification of their result

Option 3: Request Revisions (Available via kebab menu ⋮ in header)

  • For minor corrections without creating a new attempt
  • See detailed section below

For Trainer Observations (Checklist only):

Only the Final Result option appears:

  • Choose Not Satisfactory Completed or Satisfactory Completed
  • Set the Date of Observation
  • Add optional feedback
  • Upload optional supporting files
  • Click Submit to finalise
