Activity Logs

Nimbu maintains a complete, chronological record of every significant action taken on a student's enrolment. This activity log gives trainers and administrators a reliable audit trail, showing exactly what happened, when it happened, and in what sequence without the risk of entries being altered or deleted.

Activity logs are particularly valuable for compliance purposes, for investigating discrepancies in a student's progress record, and for resolving disputes about submission timing or result history.

Who can do this: Administrators and Trainers with access to student records can view activity logs. The log is read-only, entries cannot be edited or deleted.

Accessing Activity Logs

Activity logs are accessed from the student detail view via the Students sidebar:

  1. Select Students from the left sidebar.
  2. Search for and open the student's profile.
  3. Select the Logs tab at the top of the student detail page.

The Logs tab sits alongside Profile, Progress, and Document in the student detail navigation.

What Activities Are Tracked

Nimbu automatically records a log entry every time a significant action occurs on a student's enrolment. Tracking is system-driven — no manual input is required from trainers or administrators to generate log entries.

The following categories of activity are captured:

Enrolment Actions

  • Unit activated for the student.
  • Unit locked, unlocked, restarted, or marked as N/A.

Content Activity

  • Learning resource viewed (e.g. PDF opened).
  • Pre Course Material accessed or started.
  • Assessment started.

Authentication

  • Student logged in to the platform.
  • Student logged out of the platform.

Marking and Results

  • Assessment or observation marked by a trainer.
  • Resubmission or revision requested by a trainer.
  • Final unit result set.
  • Unit result accepted by a student.

Notifications

  • Email notifications sent to the student.

Viewing Student Activity History

The Activity Logs section displays a complete timeline of all recorded events for the student. Entries are shown in reverse chronological order, the most recent activity appears at the top of the list, marked with a Recent badge. The oldest entry in the log is marked with an End badge at the bottom.

Each log entry shows:

  • Timestamp: Displayed as a red date-and-time badge (e.g.  26/08/2022 - 16:17). The most recent entry shows a Recent badge in place of a specific timestamp until the page is refreshed.
  • Activity type chip: A label identifying the category of the event (e.g. Enrolment, Learning Resource, Assessment, Login, Logout, Pre Course Material).
  • Description: A plain-text summary of the specific action that occurred (e.g. "Activated Unit: TU180222_001 - TU180222_001", "PDF: PDF Test 16082022 viewed", "Logged in").
  • By [Name]: The name of the user who performed the action, this may be a trainer, an administrator, or the student themselves.

Activity Types

The following activity type chips appear in the log, each corresponding to a category of platform event:

Activity Type What It Records
Login The student logged in to the Nimbu platform.
Logout The student logged out of the Nimbu platform.
Enrolment An enrolment action was performed, such as a unit being activated, locked, unlocked, or restarted. The description specifies which unit and what action occurred.
Learning Resource A learning resource was accessed by the student. The description includes the content type and name (e.g. "PDF: [content name] viewed").
Pre Course Material A pre-course material item was accessed or an action was recorded against it.
Assessment An assessment-related event occurred, such as the assessment being started. The description provides the assessment name and action.

Date Range Filtering

When a student has a long enrolment history, the full log can be lengthy. The Date Range filter at the top of the Logs tab allows you to narrow the log to a specific period so you can focus on the activity most relevant to your review. To filter by date range:

  1. Open the Logs tab for the student.
  2. Click the Select period field at the top of the page.
  3. Choose the date range you want to view.
  4. The log will update to display only entries that fall within the selected period.

To return to the full log, clear the date range selection.

Tip: When investigating a specific incident, such as a missed due date or a disputed submission, filter the log to the relevant period to isolate the activity most likely to contain the answer.

Audit Trail for Compliance

For RTOs operating under ASQA or other regulatory frameworks, maintaining accurate records of student activity is a compliance requirement. The Activity Log supports this in several ways:

  • Immutable record: Log entries are generated automatically by the system and cannot be edited or deleted by any user, including administrators. This ensures the integrity of the record for audit purposes.
  • Timestamped actions: Every entry carries an exact date and time stamp, providing a precise chronological record of when each action occurred. This is particularly important when demonstrating that assessments were conducted within required timeframes or that students received timely feedback.
  • User attribution: Each log entry records the name of the user who performed the action — whether that is a trainer activating a unit, a student submitting an assessment, or an administrator making a change. This creates a clear chain of responsibility across all recorded events.
  • Full history with clear boundaries: The Recent and End markers in the log make it straightforward to confirm the complete extent of the record from the student's earliest recorded activity through to the most recent with no gaps.
