Managing Your Profile

Your Nimbu profile stores your personal information, account credentials, and the details your RTO uses to manage your training records. Keeping your profile up to date ensures your records are accurate, your access remains uninterrupted, and any compliance reporting your RTO is required to complete reflects the correct information. This article walks through each section of your profile and how to manage it.

Accessing Your Profile

To access your profile settings, click your name or avatar in the top-right corner of any page in Nimbu. Select Profile or Account Settings from the dropdown menu. Your profile is divided into sections, each covering a different aspect of your account.

Editing Your Name

Your name as entered in Nimbu appears on your training records, results, and any documents your RTO generates on your behalf. It is important that this matches the name on your official identification.

How to Update Your Name

  1. Navigate to your profile settings.
  2. Locate the Personal Information or Profile Details section.
  3. Click into the First Name and Last Name fields and update as needed.
  4. Click Save to apply your changes.

Note: If your name needs to be corrected due to a data entry error made during enrolment, contact your trainer or administrator. Some name fields may be managed by your RTO and restricted from student editing.

Changing Your Password

The Reset Password section allows you to trigger a password reset for your account.

  1. Scroll to the Reset Password section on your profile page.
  2. Click the Reset Password button.
  3. A password reset email will be sent to your registered email address.
  4. Open the email and follow the link to set a new password.

Note: If you do not receive the reset email within a few minutes, check your spam or junk folder. If the email still does not arrive, contact your trainer or administrator for assistance.

AVETMISS Form (Australian Students)

AVETMISS (Australian Vocational Education and Training Management Information Statistical Standard) is a national data standard that RTOs in Australia are required to report against. To meet this obligation, your RTO needs to collect specific personal and demographic information from you.

If you are enrolled in an accredited course in Australia, your profile will include an AVETMISS section where this information is collected.

Why This Matters

Your RTO submits AVETMISS data to the relevant state or territory training authority each year. Accurate information in your profile ensures your training activity is correctly recorded on your national record and that your RTO remains compliant with its regulatory obligations.

Information Collected

The AVETMISS form typically includes the following fields:

Date of Birth Required for statistical identification
Gender Reported for national training data
Country of Birth Identifies where you were born
Indigenous Status Indicates Aboriginal or Torres Strait Islander background
Language Spoken at Home Identifies your primary home language
Highest School Level Completed Prior education background
Prior Educational Achievement Any previous VET or higher education qualifications
Employment Status Your current work situation at the time of enrolment
Disability or Long-Term Condition Any disability that may affect your training needs
Residential Address Your current home address, including suburb, state, and postcode
USI (Unique Student Identifier) Your national student identifier number

Important: The USI is a mandatory requirement for all students undertaking nationally recognised training in Australia. If you do not yet have a USI, you can create one for free at usi.gov.au. Your RTO cannot issue you with a certificate or statement of attainment without a verified USI on record.

How to Complete Your AVETMISS Form

  1. Navigate to your profile settings.
  2. Locate the AVETMISS section.
  3. Work through each field and enter your details accurately.
  4. Click Save once all required fields are completed.

Note: Some fields may be marked as mandatory. Your RTO may follow up with you if required fields are missing prior to enrolment or at the time of reporting. Providing accurate information at the time of enrolment avoids delays later.

Viewing Your Activity Log

Your activity log is a record of significant actions taken within your Nimbu account. This can be useful if you need to confirm when you accessed content, submitted work, or made changes to your account.

What the Activity Log Shows

Entries in your activity log may include:

  • Login and logout events
  • Assessment and observation submissions
  • Content accessed or completed
  • Profile changes made to your account
  • Notifications received and acknowledged

How to View Your Activity Log

  1. Navigate to your profile settings.
  2. Locate the Activity Log or Account Activity section.
  3. Browse the list of recorded events, which are displayed in reverse chronological order (most recent first).

Note: The activity log is a read-only record. You cannot edit or delete entries. If you notice an activity you do not recognise, contact your trainer or administrator.

Billing Information

If your RTO charges a fee for your course, your profile may include a Billing section where you can view your payment details and history.

Note: Not all courses involve a fee. If you do not see a Billing section in your profile, your course is either fully funded or billed directly to your employer or another party on your behalf.

What You May See

Depending on your RTO's configuration, the billing section may include:

  • Subscription or Enrolment Plan: The course or plan you are currently subscribed to, including the associated fee.
  • Payment Method: The card or payment details on file for recurring charges.
  • Billing History: A record of past payments and invoices.
  • Upcoming Charges: Any scheduled future payments.

Managing Your Billing Details

  1. Navigate to your profile settings.
  2. Locate the Billing section.
  3. To update your payment method, click Edit or Update Payment Details and follow the prompts.
  4. To view or download a past invoice, locate the relevant entry in your billing history and click Download or View Invoice.

Important: If you have concerns about a charge, a payment that has not processed correctly, or you need to cancel or modify your enrolment for billing reasons, contact your RTO directly. Billing disputes are managed by your RTO, not through the Nimbu platform.
